Hiring in-house or buying a fixed-price system
The phone rings at 6:40 p.m. A quote request lands at midnight. An invoice sits unsent for nine days because the one person who does it is on leave. The usual fix is a hire. Below, published US wage figures sit beside our fixed prices, and each side lists what it leaves out.

Side by side
| What to compare | Gonzo | The alternative |
|---|---|---|
| Receptionist: cost, year one | AI Receptionist: $1,800 setup plus $800 a month, live in 14 business days, $11,400 in the first year. It covers web chat, calendar booking, and handoff to a person. It does not answer the phone: the phone line is not built yet. Not in that price: tax, voice or WhatsApp provider charges, and the managed retainer ($2,500 setup plus $2,500 a month, $32,500 in the first year) if you want us to monitor and maintain the system. | The BLS median wage for receptionists is $38,010 a year (May 2025). With the 1.43 compensation multiplier that is about $54,300 a year, before recruiting and management time.[1] |
| Lead response: cost, year one | Lead Response Engine: $2,000 setup plus $600 a month, live in 10 business days, $9,200 in the first year. The first reply is aimed at 60 seconds, around the clock; that is a design target, not measured live. WhatsApp and email are the channels today, and the web form and web chat adapters are not built yet. Not in that price: tax, WhatsApp provider charges, and the managed retainer ($32,500 in the first year). | The closest published BLS profile is wholesale and manufacturing sales representatives, a proxy: a median of $76,460 a year (May 2025), about $109,200 loaded. A true junior inbound role will usually cost less than this proxy, and BLS does not publish one.[2] |
| Billing and follow-up: cost, year one | Setup is $2,000 and the monthly fee is $600 for Quote-to-Invoice Automation, live in 10 business days, $9,200 in the first year. It covers quotes, invoices, and payment reminders. Your accounting package is not connected, and Stripe has never run live. Not in that price: tax, and the managed retainer ($32,500 in the first year). | The BLS median wage for bookkeeping, accounting, and auditing clerks is $50,670 a year (May 2025), about $72,400 loaded.[3] |
| What each price leaves out | Tax, third-party usage charges (a WhatsApp provider, and a voice gateway once there is one), and the managed retainer for monitoring and maintenance. Also your own time: supplying the knowledge base, hours, and policies, and handling what the system passes to a person. | The loaded wage leaves out recruiting, equipment, training, management time, bonus or commission, and cover for leave. Both sides are partial, so read the totals as rough orders of magnitude, not as a savings figure. |
| How the multiplier was derived | Not applicable: our prices are fixed and listed. | BLS Employer Costs for Employee Compensation, June 2026, released September 9, 2026: private-industry compensation was $46.89 per hour, of which wages and salaries were $32.82 and benefits $14.07.[4] |
| Hours covered | Built to answer at any hour once connected, on the channels that exist: chat, email, and WhatsApp. None of them has run live, and voice is not built. Every system hands the conversation to a person for anything it cannot answer. | A standard 40-hour week covers 40 of the 168 hours in a week. Coverage beyond that needs more people or more shifts (arithmetic, not a sourced statistic). |
| Judgment and relationships | A system follows the rules and scripts agreed at setup and escalates the rest. It does not negotiate or close. | A person can handle odd cases, read a room, and build a relationship. This is where an in-house hire is better. |
| Time to start | 10 to 14 business days from a signed scope and the deposit: 14 for the receptionist, 10 for lead response, 10 for quote-to-invoice. For the receptionist, a person confirms in writing what is live on business day 14, because voice is not built. | Recruiting and onboarding time varies. We have no sourced figure, so we do not give one. |
| Absence and turnover | A system takes no leave, but it needs a person on your side for the handoffs and approvals it passes on. Monitoring and a named contact after launch come with the managed retainer ($2,500 setup plus $2,500 a month, $32,500 in the first year). The retainer carries a response-time commitment confirmed in writing; it is not a round-the-clock human helpdesk. Without it, what you get after launch is not on file, and a person confirms it before you sign. | One person covers one seat. Holiday and sickness need cover, and so does the phone. No sourced turnover figure is quoted here. |

How the staff cost was worked out
| Role | Median wage, US | Year | Loaded estimate |
|---|---|---|---|
| Receptionist | $38,010[1] | May 2025 | about $54,300 |
| Lead-response or SDR person | $76,460[2] | May 2025 | about $109,200 |
| Billing or ops coordinator | $50,670[3] | May 2025 | about $72,400 |
Loaded cost = BLS median annual wage x 1.43. It is an average across all jobs, so treat the result as an estimate. Excluded: recruiting, equipment, training, management time, commission or bonus, and cover for leave.
Our view
When the alternative wins
- You get a few inquiries a day and the person is also doing other useful work at the front desk.
- The role is mostly judgment, relationships, or physical presence (greeting people, handling cash, in-person service).
- You already have the person and the gap is small. A system is a poor fit for a problem you do not have.
- The work needs sales skill. Negotiating and closing are outside what we sell: our lead tool scores and drafts, then hands over.
- You need someone to answer the phone today: Gonzo's phone side is not built yet.
- The job is the front desk as a whole (greeting, mail, walk-ins), not one channel.
When Gonzo wins
- The problem is speed and consistency out of hours on chat, email, and WhatsApp: slow first replies and late invoices.
- You need coverage outside a 40-hour week, which one person cannot give.
- You want a fixed price and a named scope rather than a payroll commitment.
- You would rather keep the person for the hard cases and let the system do first contact.
